Job Summary:
RPO is seeking an enthusiastic and detail-oriented individual to join our team as an Accounts Payable & Office Administrator. This will be a for a 90-day temporary position, with the potential for permanent placement based on performance and fit. This dual-role position is perfect for someone who enjoys managing financial processes while maintaining a welcoming and efficient office environment. The ideal candidate will bring excellent organizational skills, a friendly demeanor, and the ability to multitask effectively. This position requires a solid understanding of general accounting practices, cash management concepts, paired with a strong communication skillset to effectively support the Finance team and the business. You Will:
Accounts Payable Duties:
- Process vendor invoices in a timely and accurate manner, ensuring proper coding and approvals.
- Prepare and issue payments, including checks, electronic transfers, and credit card transactions.
- Reconcile accounts payable transactions and assist with month-end close processes.
- Address vendor inquiries and maintain positive relationships with suppliers.
- Support record-keeping to ensure compliance with company policies and financial regulations.
- Be comfortable with data entry following a critical assessment of supporting documentation.
- Validate the accuracy of balance sheet accounts using a rigorous reconciliation process.
- Apply knowledge of sales tax regulations and reporting requirements to support internal and external customers ensuring compliance with government regulations.
- Assist with Month-end and year-end close.
Office Administration Duties:
- Greet and welcome visitors with professionalism and warmth, creating a positive first impression.
- Answer and direct incoming calls, emails, and inquiries to the appropriate departments.
- Manage appointment scheduling and maintain accurate records of office activities.
- Ensure the reception area is clean, organized, and stocked with necessary supplies.
- Assist in scheduling meetings, coordinating travel arrangements, and managing calendars for team members.
- Support manufacturing departments by responding to ad hoc requests, preparing materials and managing documentation.
- Monitor and oversee office equipment to ensure smooth day-to-day operations.
- Use strong MS Office skills to report cogent information to support process improvements and drive efficiency throughout the organization;
You Have:
- Minimum of a bachelor's degree in finance, Business Administration, or a related field.
- 1+ year of experience in an office environment; Prior office experience within a manufacturing environment is preferred.
- Strong attention to detail and accuracy in handling financial tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software is a plus.
- Excellent communication skills, both verbal and written.
- Proven ability to multitask, prioritize workload, and work independently or as part of a team.
- Experience handling vendor disputes or troubleshooting office issues.
- Customer service experience and strong interpersonal skills.

Environment & Physical Demands:
- Professional office environment with routine use of standard office equipment such as computers, phones, copiers, filing cabinets and fax machine; noise level typical of a standard office environment
- Prolonged sitting, computer and telephone use, as well as standing, filing, bending, reaching and lifting and carrying up to 15 pounds
- Occasional exposure to manufacturing plant floor requiring the use of personal protective equipment (ear plugs, safety glasses, etc.)
