Overview:
The North America Product Development Team is seeking a contract administrative assistant for the
North America Technical organization. This role will support the North America Product Development,
Regulatory Affairs, and US Technical Services teams with payment processing, vendor management,
and other administrative tasks as necessary. The role will report to the North America Product
Development Director and support the daily operation of the teams.
Qualifications:
• High School graduate or equivalent; some business school preferred.
• Formal administrative assistant training / certification highly desirable.
Previous experience on assisting management and multifunctional teams.
• Minimum of 3-5 years' experience, support requiring strong analytical, problem-solving skills.
• Excellent administrative and organizing skills.
• Experience in managing an office preferred.
• Works well as part of a team environment.
• Aptitude for anticipating needs and creative problem solving
• Working knowledge in computer applications including the Microsoft suite and an ability to
quickly learn and utilize proprietary software.
• Ariba and SAP experience required.
• Ability to prioritize work independently, and exercise sound judgment.
• Strong oral and written communication skills.
• Demonstrated ability to manage confidential situations.
• Ability to handle a multitask role with a high level of attention to details.
Requirements
• Support new employee on-boarding and acquisition/allocation of necessary resources.
• Organize, schedule, and support internal and external meetings.
• Maintain vendor records including contact lists, payments, and contracts.
• Develop and maintain a digital file management system.
• Work directly with the corporate Procurement, Accounts Payable, and Master Data
Governance organizations to ensure adherence to policies, maintain accounts in good
standing, and efficient vendor onboarding.
• Oversee the daily tasks associated with account payable for all three teams including purchase
order creation, invoice receipt/submission, new/existing vendor set up and records updating,
reviewing payment status, and communicating with key stakeholders on the status or needs.
• Work with external parties, as necessary, to support vendor selection, coordinate meetings,
and establish relationships.
• Work directly with the NA Field Development Managers to support the needs of the field
development teams and North America research Stations, which includes finance support,
resource acquisition and allocation, as well as general administrative tasks.
• Work with the NA Regulatory Affairs Director and Managers to support financial processes,
government interactions, and administrative tasks.
• Work with the Technical Services team to support financial processes and administrative tasks.
• Liaise with executive and senior administrative assistants to handle requests and queries from
senior management.
