What you’ll do as a Trust Operations Supervisor:

As the Supervisor you will oversee the processes within the Trust Operations department along with providing direction and developmental guidance to the staff.   You will ensure that all items are completed in a timely and efficient manner and in accordance with industry, audit and OCC requirements.   You will provide necessary day-to-day assistance to the business line regarding escalated items and/or processing exceptions and delays.  You will actively participate in the determination and implementation of changes to process, procedures and systems that impact Trust Operations. 

The details:

  • Provide supervisory direction and developmental guidance for the individuals that comprise the Trust Operations department.  This includes meeting with each associate on a regular basis to maintain an understanding of the functions on their desk, setting and measuring expectations, providing guidance and training as unique or escalated situations arise and ensuring all work is performed within required guidelines.
  • Ensure adequate staffing of the Trust Operations department and have provisions in place to provide necessary cross training for backups at all times.  Guarantee that separation of duties is in place where necessary and that work is processed in a timely and consistent manner by each individual and their backup(s).
  • Provide input and assistance with all process and system enhancements that impact Trust Operations.  Attend all enhancement meetings and formulate suggestions for implementation and training.  Coordinate procedural updates and training.
  • Provide necessary day-to-day assistance to all Personal Trust, Retirement Plan Services, Corporate Trust and Investment departments.  Proactively communicate with the business line regarding errors or delays in processing.
  • Conduct weekly staff meetings with team members to discuss problems and train staff on procedural changes.  Also conduct monthly meetings with individual team members in order to provide performance feedback as well as to monitor and manage team and individual morale.
  • Oversee the daily, weekly and monthly processing of the Mutual Fund team.  Ensure that adequate policies, procedures and training are provided in order to handle the settlement and trading of mutual funds, monitor short term redemption fees, and post dividends and capital gains.
  • Maintain supervision over the individuals performing corporate trust work to ensure that adequate policies, procedures and training are provided in order to process incoming accounts, principal and income disbursements, maturity proceed payments, transfer agent duties and all necessary tax reporting for non-DTC holders.  Monitor the review, research and development of daily, weekly and monthly required reconciliation reports.
  • Provide daily oversight of the individuals conducting posting of dividend, income, capital gains, etc. to ensure that adequate policies, procedures and training are provided.  Provide guidance regarding automated MAPs, the researching of rates, and foreign withholding.
  • Maintain supervision over individuals conducting domestic and international wires to ensure that adequate policies, procedures and training are provided in order to execute packet posting, daily balancing, flex receivables posting and statement balancing.  Review reconciliations for both security positions and internal accounts and monitor daily exception reports for out of balance issues.
  • Monitor the review of daily trade activity and settlement.  Review failed trade reports and when necessary, contact outside managers to ensure trades are being affirmed in a timely and appropriate manner.  Serve as a primary resource for securities lending, overseeing the securities lending workload and participating in calls with the securities lending vendor when necessary.
  • Collaborate with internal audit and compliance to provide all necessary material to meet audit requirements.  Review processes and procedures within the Trust Operations department on a regular basis to ensure that they are up-to-date and in alignment with regulatory and business line requirements.

What it takes to be a Trust Operations Supervisor:

Education:

  • Bachelor's Degree or equivalent combination of education and experience Required
  • Bachelor's Degree Preferred 

Experience:

  • 4+ years of Supervisory experience required
  • 4+ years Financial Industry required
  • Solid understanding of components of trust required. Trust experience preferred
  • Strong leadership experience
  • Solid communication, problem solving, and change management skills needed
  • Ability to hold yourself and others accountable
