Job Description

Cox Media Group (CMG) is currently seeking a Payroll Specialist for our Employee Resource Center to serve as a liaison between the center and operating location directors, managers and accounting staff. In this role you will plan, organize, and control specialized aspects of the payroll functions for CMG employees in assigned operating locations. You will also assist in answering day-to-day payroll questions and concerns, while demonstrating a high level of support and customer service.
  • Processing of payroll transactions and review of internal controls and reports.
  • Receive and process calls, e-mails and faxes directed to Employee Resource Center (ERC) from Cox Media Group (CMG) employees and their managers, and location accounting staff.
  • Create or update employee master data records in PeopleSoft.  Maintain direct deposit, W-4, state and local tax withholding forms, mobile device allowances, and other general deductions such as uniforms, public transportation allowances, United Way, etc.
  • Answer general pay related inquiries from clients.  Provides general assistance with standard HR issues as well (i.e., address changes, emergency contacts, etc.)
  • Provide technical support and/or direction to employees needing assistance in entering personal information on internal website.
  • Provide support to employees needing assistance with Kronos and Time & Labor time entry, in order to facilitate accurate information and expedite approval procedures.
  • Review Kronos and Time & Labor time entry for accuracy and completeness as well as employee and manager approval, critically identifying and auditing for any discrepancies.
  • Contact employees and respective managers who have not completed time approval by deadlines.
  • Comply with requests for employee wage reports or for federal, state or other government agencies in a timely manner; e.g., Wage reports to the IRS, Department of Labor (Federal and State); Social Security Administration and DFACS; W-2’s and earnings reports.
  • Process and document Additional Pay Requests for commission and bonus payments, ensuring proper approval on all submissions and routing to supervisor for review as needed.
  • Work with regional partners at location to coordinate training on new payroll systems or procedures, providing information sessions, webinars and responses to questions.
  • Work to maintain focus on the customer and escalate more complex requests and issues to management team, HR manager or business office for resolution.
  • Continuously seek to improve quality of service delivery, taking into consideration supervisor coaching and customer feedback.
  • Position will partner with ERC peers, CEI Corporate Benefits, HR, IT Systems Support, HR Business Partners, and vendor/service provider contacts.
  • Learn and remain up-to-date of applicable stipulations of federal and regional (state and local) laws as applicable to Payroll administration.
  • Participates in presentations and/or training (instructor-led, webinar) on HR Shared Services in field locations as needed. Assist operating location managers with communication and learning-curve challenges on the ERC procedures, sharing leading practices from other locations.
  • Model and maintain the professional and ethical standards of the company.
  • Position will also work with Severance files, STD pay, PTO payouts, Tuition Reimbursement payments, Relocation and other forms of earnings.   Qualifications
  • Associates Degree or equivalent work experience required.
  • 3 to 5 years’ payroll experience required.
  • 3 plus years’ internal or external customer service experience required.
  • Strong communication and interpersonal skills required.
  • Effective customer service and organizational skills required.
  • Familiarity with wage and tax-related laws required.
  • Demonstrated ability to maintain absolute confidentiality and discretion.
  • Extreme detail-orientation and accuracy required.   Preferred  
  • Post-secondary education in Accounting, Business Administration; Payroll certifications a plus
  • Processing multi-state payrolls
  • PeopleSoft experience strongly preferred.
  • Time & Labor experience strongly preferred.
  • Kronos experience strongly preferred.
  • Call center environment a plus.
  • Demonstrated experience with writing Oracle PeopleSoft Queries a plus.
  • Excellent communication skills including clear speaking voice.
  • Spanish language skill a plus.
  • Aptitude for learning and navigating information systems. Skilled in computer applications and Microsoft Office Suite.
