Job Description

The Human Resources Coordinator will support the day-to-day administration of all human resources matters, including inquiries, benefits elections, transactions, recruiting, on/off boarding and employee programs.
 
 RESPONSIBILITIES include but are not limited to:
  • Participates in the recruiting process, which can include meeting with hiring manager, job  description update, posting position and scheduling and conducting phone interviews
  • Builds and maintains relationships with local colleges and universities
  • Screens and refers qualified applicants to hiring manager for interviewing
  • Manages and performs the prescreening process for all candidates
  • Recommends new strategies and programs to attract candidates
  • Completes the off-boarding process of data entry, final paperwork and Cobra
  • Orders and maintains inventory of new hire items and department supplies
  • Monitors and updates HRConnection and Comment Box
  • Department expert on Form I-9 compliance, staying abreast of all laws and sharing updates and/or changes with HR team to ensure continued strict compliance
  • Serves as the primary contact for applicants and the hiring manager
  • Liaison to parking for employees and media dining
  • Assists in the planning and execution of all department special projects or events  
  • Provides exceptional internal and external customer service by providing timely, accurate information in response to HR-related inquiries and/or requests  
  • Prepares offers of employment and approved relocation agreements for successful candidates
  • Administers new hire orientation; prepares new hire packets, gifts, desk set-up and obtains all legal documents within timelines
  • Conducts benefit orientations for new hires, processes benefits enrollments/changes
  • Quarterly audit the payroll deductions and carrier invoices
  • Maintains online database with current job openings
  • Maintains resumes for applicants
  • Performs Green Shades login requests/resets
  • Completes verification of employment requests
  • Creates, maintains, and archives all personnel files (new hires, termination, etc.) within regulatory compliance
  • Maintains confidentiality of all employment information and complies with all mandated privacy requirements
  • Actively engages in the continuous improvement of human resources processes/procedures and current HR programs.

MINIMUM QUALIFICATIONS:
  • Bachelor’s degree with emphasis in Human Resources preferred 
  • SHRM/HRCI certification strongly preferred
  • 1-3 years Human Resources experience preferred with recruiting and on-boarding experience
  • Ability to handle confidential matters and information with discretion and diplomacy
  • Proficient in Word, Excel, Outlook and PowerPoint
  • Proficient organizational skills and time management skills with ability to successfully manage multiple tasks with multiple priorities in a high volume, high energy environment
  • Strong verbal, written and interpersonal communication skills with the ability to create and  maintain solid working relationships within the department and across the organization
  • Must be able to understand and present employee benefits and policies
  • Ability and internal drive to participate and demonstrate with a winning attitude and a strong work ethic in the performance of all job responsibilities  
 
PHYSICAL & MENTAL REQUIREMENTS:
  • Prolonged periods at a desk and working on a computer
  • Must be able to access and navigate each department at the organization’s facilities
  • The vision requirement includes the ability to review written and electronic materials in both digital and physical format.  
  • The employee must be able to transfer and move items for departmental needs.
  • The employee must be able to adjust to changing work hours and locations as needed in light of the strong focus on external communications and relationships.
