ADMISSIONS RECRUITMENT SPECIALIST II (PSS 4508)

Working Title: Graduate Admissions Specialist

 

POSITION PURPOSE:

 

The School of Business at the University of California, Riverside is a nationally-ranked and internationally-recognized AACSB-accredited business school. The Graduate Admissions Specialist responsibilities include assembling, reviewing and processing of paper and on-line applications to our graduate business programs; data entry into our web-based applicant database; generation of various admissions related letters, documents, and other formal correspondence with candidates including interview invitations, letters of admission and other formal correspondence with candidates.

 

The Graduate Admissions Specialist interacts with prospective students from a variety of academic, cultural, national, and socioeconomic backgrounds. The position counsels prospective applicants and admitted students on the various graduate programs available, application criteria, deadlines, etc. The Specialist proactively coaches applicants on the various admissions processes and criteria, documentation requirements, and on-boarding activities.

 

The position may score application essays, conduct student interviews, and assess candidates' backgrounds and future academic/career goals to effectively represent candidates to the admissions committee. The position uses the Customer/Client Relationship Management (CRM) System to help communicate with those expressing interest in the various graduate programs and generates reports from this system/database. The Specialist ensures candidate information and interactions are appropriately recorded in the CRM system. In addition, the position assists with the logistics to support Admissions special events such as offsite Info Sessions, onsite tours, offsite recruitment events, and other recruitment/admissions events.

 

This position maintains our web-based databases used to manage email campaigns, including event invitations, RSVPs, etc. The Specialist works closely with other members of the Graduate Programs Office along with other stakeholders, as assigned. The position provides a wide variety of administrative support, creates and edits documents, creates and enters data into spreadsheets & databases, schedules meetings along with leading the assembly of large mailings---all in support of Recruitment & Admissions activities.

 

ESSENTIAL FUNCTIONS

 

  • Provides information about higher education generally and UC specifically one-on-one and to groups. (15%)
  • Provides substantive information on admissions requirements, school/college programs and curricula, financial aid, housing, and career opportunities. (15%)
  • Exercises professional judgment in reviewing, evaluating, and recommending applicants for admission using established guidelines. Consults with experienced level staff or faculty when reviewing more complex applications. (15%)
  • Responds to inquiries from prospective students regarding entrance requirements, application procedures, financial aid availability, housing alternatives, etc., including the potential of conducting information sessions. (15%)
  • Evaluates transcripts and international records for eligibility. Assesses applicants for motivation, initiative, leadership potential, work / life experience, extracurricular activities, socioeconomic status, disability, and educational / personal hardship. (10%)
  • Participate and help coordinate various Graduate office events including, but not limited to, orientations, open houses, program office sponsored events along with graduate student sponsored events. (5%)
  • Manages data analysis and entry into CRM (Sales Force/Target X) ensuring completion done accurately and timely according to a defined schedule. Organization of data from CRM to assist in marketing and performance analytics. (5%)
  • Assesses academic preparedness of traditional, special-program, and international applicants. (5%)
  • Provide timely insights and analytical support to various internal departments to support effective business decision-making. (5%)
  • Generate reports and organize data to asst in marketing and performance analytics for recruitment and retention of students. (5%)
  • Other duties as assigned (5%)

 

Minimum Requirements

 

  • Bachelor's degree in related area and/or equivalent experience/training.
  • 2-4 years of related experience.
  • Knowledge and experience working with a diverse student population.
  • Ability to communicate effectively orally and in writing.
  • Ability to maintain cooperative relationships with schools, universities, community organizations and other institutions.
  • Analytical skills to conduct analysis and develop recommendations, demonstrates organizational skills and problem-solving skills.
  • Ability to interact with diverse groups using tact and diplomacy; ability to communicate patiently and courteously with sometimes difficult individuals.
  • Well-versed in research tools, interpreting and clearly presenting data and using data software
  • Knowledge of advising and counseling techniques.

 

Preferred Qualifications

  • Advanced degree in Business, Public, Counseling, Student Development, Education, or other related area.
  • Familiar with Customer Relationship Management (CRM) Systems.
  • Working knowledge of admissions requirements for campus/school/college.
  • Working knowledge of UC, and the ability to interpret policies and procedures to prospective applicants and the public.
  • Working knowledge of academic programs, including curricula, admissions requirements, and financial aid programs at UC.
